University Sponsored Travel/Unaccompanied Undergraduate Student Travel

We are having increased requests for University sponsored travel for undergraduates to travel on their own. It would be helpful to hear what other Universities are doing to manage this type of travel.

-What do you consider University sponsored travel? Is it only considered University sponsored if expenses are paid for the students?

-If travel is considered University sponsored, what is our duty of care for unaccompanied undergraduates?

-Does your University allow undergraduates to travel without faculty supervision on overnight travel?

Our undergrads travel unaccompanied if it's individual travel, although they are typically accompanied. We do accompany for groups abroad for sure. And all our students must book through our program for all "Tulane related travel." Our undergrads travel unaccompanied if it's individual travel, although they are typically accompanied. We do accompany for groups abroad for sure. Sometimes our undergraduates do travel on a Fellowship award or are sent by a lab to a conference or to represent a student organization in the summer. They are booked either as a guest or they are given a Concur profile to complete the booking and are reimbursed. Each undergraduate student traveling domestic or international must sign a statement of release / liability for intl travel. The must also submit an intent to travel form that needs approval before they can book travel.
