We are looking at the possibility of implementing a Travel Tracking system at USU and are looking for input from other Universities who already have one in place.

- Do you mandate? If not, what kind of buy in did you get?
- How painful was this process?

- How do you handle that?
- Are all participants tied to one TA and tracked from that?
- Are approvals different?

Hi Elizabeth,
Here at the University of Alberta, our TMC (Maritime Travel) set us up with access to Grasp.
Grasp has a 'Where are my Travelers' function that allows you to track travel within a 4 day window of your search date (ie. March 1 - March 4). It shows all flights and hotels booked through our TMC within that date parameter. It even provides you real time results if you search today's date.
You can search by dates, traveler name, or city.
Grasp also allows you access to all types of travel reports. Very useful tool to have access to.
The data used is based on tickets issued through your TMC so we use 'BackOffice (invoiced)' as the source of our data.
Because the data used is on the issued side of the booking, approvals did not change.
There was no cost to set up and all our data feeds into it from our TMC. Our TMC set it up for us.
