Conference Early Registrastion Discounts

We have someone wanting to attend a conference in the fall and they are offering an early registration discount of $100 in the form of a gift card for the attendee. Our question is, do we allow the attendee to keep the gift card for personal use; do we have them give the gift card to the University; do we reimburse them the cost of the registration fee less the $100 and they keep the gift card. Has anyone else come across this and how did you handle it?

Clearly an ethical dilemma. Not a best practice that I would encourage meeting planners to offer. Whether at a business or an educational institution the monies received in the form of a gift certificate would belong to whomever is paying for the registration.

Hi - We haven't run into this scenario yet. However if the traveler is planning to keep the gift card I would reimburse them for $100 less.
