Hello All,
How does your university capture Student Travel Lodging crimes for the Clery Act?
Does your university have a form that must be filled out or a website where the information can be entered?
How do you track this information?
Do you use your travel management system for the reporting, and how did you embed it into the system? (Concur, People soft, etc.)
Thank you so much for your assistance in this matter.
If the Clery Act requires reporting/tracking campus crime data, would that include while traveling?
Yes, Clery act requirements extend to wherever you take your students. This is managed by our campus police dept, but I was recently asked about how we can assist this reporting team at CU. I am very interested in what others are doing here to maintain awareness for the Clery reporting folks. We haven't found the magic solution yet.
Thank you
We require all travel be preapproved by completing a Spend Authorization in our ERP system, Workday. Expenses after travel are also reconciled in Workday.
We have created a report of all student lodging expenses that our compliance team uses to pull the addresses of the locations where students stayed based on the receipts submitted during reconciliation. Compliance uses this information as they are gathering information for the Clery report.
At Virginia Tech, we built a couple of questions into the Chrome River system for student lodging to request the following information:
1. Lodging address and room number for student lodging
2. Contact information (name, address, phone, fax, email) for the police station nearest the lodging location.
We have a report that is provided to our Clery Act reporting person with this information so they can follow up for the crime stats.
Thank you all for your support.
@Tyler Andreasen, would you mind if I contact you directly for future discussions?
Not at all. I'm happy to share what we have done.
