How does your university track student travel destinations to meet Clery Act requirements? Do you have a centralized process, use a particular system, who is responsible for reporting the information, and what information do you track?

Hi Sally,

We use our travel and expense management system to track lodging information for student travel. We capture the lodging facility name, address and room number as well as the name, address, phone and email of the police station closest to the hotel/lodging facility.
We have a report that pulls the traveler, report ID, Org Code, Expense Type, Transaction Date, Facility Name, Hotel Check-In/Check-Out dates, and the two fields mentioned above.
Our University Police Department has an employee who compiles all data and is responsible for reporting the information.

Thanks, Lynn, that's helpful information. What management system do you use? WWU doesn't capture all our student travel in one system currently.
