TMC - Pros/Cons

Hello Everyone,

We are about to solicitate an RFP soon. William & Mary currently operates with a Travel Agency only. We are looking into perhaps adopting a TMC. If your university does use a TMC for Travel, can you provide the following:

1. What are your pros/cons or advantages/disadvantages for using a TMC
2. What TMC do you currently use?
3. Is it mandated that the university use the TMC for all travel bookings?

Any assistance is greatly appreciated.

Hi LaDonna,
Can you clarify the difference between the two business models (travel agency only versus adopting a TMC). In the interim here is a response:
1. pros - 24 hour assistance, historical data, unused ticket tracking, expertise in working with other similar organizations, policy measurement, central point of assistance, year over year trends, connection to sales/marketing contacts for air, car and hoteliers
2. Anthony and CBT
3. Not mandated - but expected and written in policy (agency or online booking tool)

Hi Kathy,

We currently only have a contract with Covington Travel, whereas the university can book directly for airfare and rail through the agency. It is not mandatory so majority of the campus still books on their own using an online source. If we adopt a TMC, we would have all of the pros and benefits you mentioned including Duty of Care.

Great point - duty of care is a top concern and benefit of centralized booking! We allow use of the online tool - ticketed by the agency - or the agent direct.
