We're planning to host a Travel Vendor Fair in the winter before our big travel booking season in late February/early March. I'd love to hear from other institutions who've recently hosted a vendor fair and any tips, tricks, lessons learned, etc. that you may have to share! I know Sabrina at Vanderbilt recently hosted one and it looks like it was a BIG success! Thanks in advance for any feedback you can provide!

Rebecca - I am at an off site meeting this week, but I will weigh in at the end of the week and share - it couldn't have gone any better. I am exciting about the ROI for both our travelers, arrangers, guest and group travel coordinators and our travel suppliers. It was a lot of work but a smashing success and I couldn't be happier.
Hi Rebecca, we recently hosted out first in-person Travel Supplier Showcase in October and it was a great success! I'd be happy to share with you what went well and our lessons learned. People are already asking when are hosting the next one! I'd love to hear what Sabrina at Vanderbilt did as well.

University of Pittsburgh has not had one since before the pandemic. We have many who are now remote and hybrid so there is concern there would not be enough people in attendance to make it worth while for the suppliers.
I will be interested to hear what everyone has done to get people there. We find that when you supply free food people tend to stop by 🙂
We find there are a few things that make for a successful Vendor Fair:
Most important - Education sessions for your travelers and arrangers. It is the perfect opportunity to share and brings the campus community in!
Honorable mentions:
Free food
Bags (I only made that mistake once...)
I would also love to hear more about this from all who have done a Travel Vendor Fair. I agree that food will always bring more people!

Hi Amanda, I will work with our team to get our To Do list and share. Last year was the first one we've done and our process was not very formalized. We're hoping to improve on that this year as we are working on our next Travel Supplier Showcase now.
Hi Geradina, we hosted our first Travel Supplier Showcase last year and plan to do another one this May. We're hoping to have one again in the fall and it may be virtual - not sure yet.

Shelly, great timing! I actually have a planning meeting next week to start the process for our vendor fair which we will have in February. I'll post more information following that meeting on our to-do list.
