For institutions using Concur that have a card program feeding in (could be P-Card, Travel Card or One Card) I'm looking for some insight on cancelled cards. When we cancel a card with our Bank, the card updates in the Company Card tool to cancelled. I'm trying to run reporting in Concur Intelligence and "Is Cancelled" is not an available field. Card Cancel date is but it's not populating the information on those cards that have been cancelled.
When you cancel a card with your bank, are you taking any additional action in Concur? Are you un-assigning the card or deleting it? Any tips or tricks you can share are greatly appreciated!
Hi Rebecca,
We inactivate the card but we do not delete it on the back end in the event we have to go back to reconcile something later. Travelers can remove from their profile if they wish. If you need to know technical detail I can arrange a call with our IT person to discuss.
Hi Rebecca,
We cancel the card in the bank system.
We do not unassign or delete the card in Concur on the chance that a credit is issued back to the card. We've had this occur previously and it allows us to view/address the reconciliation of the credit.
Those schools that have Concur and Card feed, how are you managing card feeds in Concur from a reconciliation/upload perspective? Currently, we use JP Morgan for our P-Card program. Each end of month is our deadline to reconcile to cost centers in order to complete our upload, if not reconciled by deadline transactions are posted cardholder default. We understand if we pull the transactions for our upload, transactions go away, cardholder's no longer have access to add receipts etc.
We posed this scenario to Concur and was told that many companies handle card transactions organically, give cardholders more time to reconcile, some don't reconcile for several months. We don't have flexibility to allow this. I'm trying to better understand what others are doing and if they too are in the same space we are. Any information would be helpful.
Thanks so much Una
