I'd love to hear from other institutions as to how you support your Payment Card programs outside of regular business hours? UNCCH is launching a T&E Card Program at the end of the month (we also have a P-Card program in place) and we are concerned about supporting our travelers when they are in different time zones, spread out all over the world. As I don't want my Travel Card Manager giving everyone his personal cell phone number for emergencies, I'd love to hear how other institutions have supported this need. Thanks!

Our department is still working from home and our calls are being forwarded to our cell phones. Luckily, we have not had many calls after normal working hours. As far as p-card requests, I do monitor my work emails on my cell and will take care of any issues that cannot wait. We do not have a departmental policy.

Our Travel Procurement office is still working from home, and our calls are being forwarded to our cell phones via the Cisco Jabber app. It is a neat app that masks our cell phone number and makes it appear as our office number for outside calls, and makes it appear as our extension for inside calls.

With regards to how we handle issues outside of regular business hours, my supervisor handles those, and currently there are very few. To my knowledge, most issues outside of normal operating hours, she receives emails about, and will react accordingly. We do have a policy with regards to university travel and with regards to our university Travel Card (TCard) program. Our university does also have a PCard program (with its own policy), which is handled through our Procurement and Accounts Payable departments.
