How are other institutions, especially Higher Education, handling Travel reimbursements for remote workers traveling to their designated headquarters? Does anyone have restrictions on this?
With the rise of remote work arrangements, we are seeing an increase of travel costs for individuals to travel to a location that they otherwise would be expected to report to on a daily basis. Remote workers are requesting to be reimbursed to go to campus for mandatory in person events or meetings.
Texas Tech Health Sciences Center is interested if anyone has any procedures/policies around this type of situation.

At VCU we do not reimburse to come on campus if you work remotely. Most remote workers have a campus address assigned, which is considered their base address. When the continuation to work remote was given, it was with the understanding that you may be required to come to campus.

I currently have a "hybrid" schedule and work remote 2 days per week. Although it is a 66 mile round trip for me, I don't receive reimbursement for travel on the days I work onsite. On the flip side - I also do not receive compensation for internet or phone service and I use my own hardware (laptop/printer).

If your employees are "hybrid" remote workers, they are typically not entitled to reimbursement under accountable plan protection per IRS rule unless such reimbursement is treated as income since they are still home-based on your campus. If they are full-time working abroad or work daily in another state with the occasional or monthly visit to your main campus, it's a different matter and may be eligible for standard travel reimbursement.
At William & Mary, we currently do allow travel reimbursement for fully remote employees. In the beginning, our senior management team wanted to create a policy to not allow reimbursement for travel to campus. However, we are currently reimbursing for fully remote employees to travel to campus for university business. This information is really helpful to see how other universities are handling this one. I'll copy my response from the same question over in the travel policy forum in case anyone didn't see it there:
UCAR provides $3,700 per year for travel expenses for fully remote employees (living farther than 150 miles from HQ) to visit a UCAR facility. This is for one trip of up to five business days, but supervisors have flexibility to approve more as needed. Exceptions to exceed these amounts may be requested. Considerations for reasonableness, business need, and funding are entrusted to the division directors.
